Summer Student – Export Documentation Assistant

Job Description
Position Summary: This 16-week summer student position supports export documentation, shipment
coordination, customer follow-up, and sales administration. The role focuses on assisting with catch certificates
and other export-related paperwork while helping organize records, leads, and market expansion activities.

Job Title: Summer Student – Export Documentation Assistant
Term: 16-week summer position
Reports To: Sales Manager
Primary Focus: Export document preparation, shipment records, client follow-up, and sales
support

Key Duties and Responsibilities
• Assist in preparing and completing export documentation, including Catch Certificates, Health Certificates,
Certificates of Origin and Hygiene, Packing Lists, Commercial Invoices, Contracts, and Date Code Lists.
• Review documents for accuracy, completeness, and consistency before submission or release.
• Maintain organized digital and paper filing systems for export, shipping, and customer records.
• Record and track transactions, customer orders, shipments, and related documentation.
• Help monitor shipment status and follow up on outstanding documentation.
• Communicate with clients, service providers, and internal staff regarding documents, payments, and shipment
updates.
• Assist with payment follow-up and support recordkeeping related to receivables.
• Support sales by organizing client leads, retailer contacts, and market research information.
• Help maintain customer and prospect lists for ongoing business development and market expansion.
• Provide administrative support for export operations, customer service, and office workflow.
• Perform other related clerical and administrative duties as assigned.

Preferred Qualifications
• Student currently enrolled in or returning to post-secondary studies in business, administration, international
business, marketing, or a related field.
• Strong attention to detail and accuracy.
• Good organizational and time-management skills.
• Strong written and verbal communication skills.
• Comfortable using Microsoft Office, especially Excel, Word, and Outlook.
• Ability to handle confidential business information professionally.
• Ability to work independently and as part of a team.

Assets
• Interest in international trade, export operations, logistics, or seafood industry administration.
• Experience with office administration, customer service, shipping documents, or data entry.
• Ability to work in a fast-paced environment and manage multiple deadlines.
