POSITION SUMMARY

The incumbent’s role is to assist the Club’s organizational, accounting and clerical support tasks including but not limited to: data entry, balancing cash, math exercises, organizing files, scheduling appointments, writing and typing copy, proofreading and receiving guests.

 

POSITION RESPONSIBILITIES

  • Promote a friendly, supportive and productive environment when in contact with members, guests and staff making them feel valued and welcome.
  • Participate in a safe work environment and ensure that workplace safety practices are followed at all times.
  • Complete Day End Reports by compiling information originating from the Pro Shop, Bar Canteen and Office utilizing the Lightspeed POS System.
  • Count, verify and balance all tendered transactions from all locations.
  • Prepare bank deposits and balance floats.
  • Post Journal Entries to General Ledger in Sage Simply Accounting.
  • Filing of correspondence and paper reports.
  • Assemble time sheets weekly and post information to files and Payroll system.
  • Print daily, weekly and monthly reports.
  • Coding vendor invoices as directed and entering Accounts Payable information into Simply Accounting.
  • Prepare all correspondence for mailing.
  • Maintain office appearance by cleaning surfaces, vacuuming and dusting regularly.
  • Field inquiries from members, guests, vendors and others via telephone, email and Canada Post for re-direction to Managers or Board Members.
  • Perform other duties as assigned.

 KNOWLEDGE, SKILLS, AND ABILITIES

  • Working knowledge and past experience with personal computers in a Windows 10 environment.
  • Working knowledge of and past experience with both Microsoft Excel and Microsoft Word.
  • Ability to work both independently and as part of a team.
  • Ability to communicate in a polite and respectful manner by telephone, email and in-person when dealing with members, guests, employees, vendors, and members of the Board.

  PHYSICAL REQUIREMENTS

  • Must have accurate hand-eye coordination to ensure accurate data entry of retail sales into administration records.
  • Must be able to walk, stand, talk, hear, sit, bend, climb, reach, and use hands in performing duties.
  • Must have adequate vision to perform job duties. Specific abilities include close vision, distance vision, depth perception, and capability to adjust focus.
  • Must be able to lift up to 15 (fifteen) kilograms when or if required.

 WORKING CONDITIONS

  • Must be a team player and a self-starter.
  • Must be able to work in a busy environment.
  • Must be able to follow a flexible assignment of duties within the Clubhouse depending upon special events or other needs.

 MINIMUM QUALIFICATIONS

  • High School Diploma, Business School Graduate or degree in progress or equivalent level of experience.
  • Two years of work experience in a data entry role or equivalent level of experience.
  • This position requires the submission of a satisfactory CRC to Club Management.

REPORTING RELATIONS

This position reports directly to the Treasurer. In the absence of the Treasurer, the incumbent may report to the President or Vice-President who will direct or re-direct as required.
