About the Job

The Cape Breton University (CBU) School of Nursing is seeking a Student Administrative Support Assistant to join our team. In this role, you will provide administrative support to the School of Nursing, working closely with the Administrative Assistant and Manager of Academic Administration. Key responsibilities include assisting with student records, faculty coordination, scheduling, and office management to ensure the smooth and efficient operation of the department.

Duties:

  • Maintain and organize student records, ensuring accuracy and confidentiality.
  • Assist with faculty coordination, including preparing materials, maintaining schedules, and organizing meetings.
  • Support scheduling activities, such as booking rooms, coordinating calendars, and managing timelines for academic events.
  • Provide office management support, including inventory management, maintaining office supplies, and ensuring a professional working environment.
  • Prepare and distribute communications (e.g., memos, emails, and notices) to students, faculty, and staff as required.
  • Assist with event planning and coordination for meetings, workshops, and special events within the School of Nursing. Monitor and respond to inquiries from students, faculty, and staff, directing them to the appropriate resources when necessary.
  • Collaborate with staff to ensure administrative workflows are efficient and deadlines are met.
  • Provide general administrative support, such as photocopying, scanning, and filing documents.
  • Ensure compliance with CBU policies and procedures in all administrative tasks.
  • Perform other related duties as assigned to support the overall operations of the School of Nursing.

Qualifications:

  • Strong organizational skills with attention to detail and the ability to manage multiple tasks efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with electronic filing systems.
  • Excellent communication skills (both verbal and written) to interact effectively with faculty, staff, and students.
  • Ability to work independently while also being a collaborative team member.
  • Adaptability and problem-solving skills to take on various tasks as needed.
  • Familiarity with clinical or lab environments (an asset but not required).
  • Previous administrative experience (preferred but not mandatory).

Eligibility:

Must be enrolled full time and in good academic standing at Cape Breton University.
