Team Administrative Assistant
Temporary, Full-Time, Summer Student Contract Position – Up to 40 hours per week

Who are we?
Feed Nova Scotia is a charitable organization whose mission is to increase food security through food
distribution, education, and collaboration. In terms of food distribution, we collect and distribute more than
two million kilograms of food annually to 140 member agencies across the province, including food banks,
meal programs, shelters, drop-in centres and other organizations. This equates to about $1 million worth of
food each month. We also support our member agencies as they build capacity to serve their communities,
we raise awareness of the realities of food insecurity in our province, and we advocate for social change to
address food insecurity at its core.

What is a Team Administrative Assistant?
As a result of the COVID-19 crisis, Feed Nova Scotia has been continually re-evaluating work processes,
procedures, and service delivery models to keep up with the evolving needs of those who are food insecure
throughout Nova Scotia. As a response to a direct need, Feed Nova Scotia established new programs and
initiatives, aiming to connect those in need with food support, when they can often not access food support
in traditional ways.
The Team Administrative Assistant (TA) would work closely with our Community Connections team to make
and triage calls from members of the community with varying needs related to food support. They will provide
information, confirmation and details relating to food sourcing and food delivery and will also be responsible
for providing administrative support to our Community Connections team. More often than not, the TA is
Feed Nova Scotia’s first point of contact for callers, so they will support the team in daily tasks and activities
aimed at keeping the team organized, informed, and engaged with the greater community.
What does a Team Administrative Assistant do?
• Provides ongoing organizational communication, both directly and via emails and phone calls
• Show empathy and understanding to callers or clients who may be distressed or anxious
• Track phone call details to help inform statistics and provide data for record-keeping
• Support in the design and development of ongoing reports
• Some physical activity required, including organizing and receiving of bagged/boxed food donations
• Act as a central resource for team members and clients
• Provides clear and professional communication to all levels of the organization
• Receives and triages all incoming calls for the organization, redirects calls and messages as necessary
• Other duties as assigned by the Director of Community Connections
What are we looking for?
• Post-secondary diploma or degree (in progress) in a related field preferred
• Previous administrative experience, paid or unpaid, considered an asset
• Professional and reliable
• Exceptional communication skills, both written and verbal
• Understanding of the importance of data privacy and confidentiality
• Strong organization skills and attention to detail
• Able to effectively work independently, while collaborating with others in a fast-paced environment
• High degree of sociability; positive, outgoing personality
• Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Outlook required
• High learning agility

Compensation – The compensation for this position is $19.17/hr plus 4% in lieu of earned vacation, paid out
on a biweekly basis.
