As the Staff Housing Coordinator, you will be responsible to oversee the staff housing processes from onboarding to departure. The Staff Housing Coordinator is responsible for ensuring that the premises are safe, clean and enjoyable for all staff.  You will be responsible for hosting housing events to improve staff morale. The Staff Housing Coordinator is responsible for acting as a liaison between staff and management regarding staff housing concerns and needs.

 

Core Accountabilities:

  • Develop and maintain effective relationship building with the community, home owners, billets and landlords
  • Ensure compliance with rental property rules and regulations and ensure that tenants do not treat the property, its owners, or its tenants with blatant disrespect
  • Keep an updated housing document with available spaces for rent, vacancies, and changes (Including: pictures, address, etc.)
  • Responsible for all staff/tenant inquiries from the time of arrival to departure
  • Ensure all tenants have completed a lease or sublease and all required financial forms before the distribution of keys to any staff occupied housing
  • Responsible for the distribution and return of keys
  • Responsible for conducting unit room inspections upon arrival, departure, and periodically throughout their stay and notify Human Resources/Maintenance of any required repairs
  • Responsible for the daily management of all staff occupied housing
  • Ensure move in, move out dates and all other housing details are recorded
  • Work with Housekeeping to ensure daily cleaning, stocking of supplies, and inspections are completed effectively
  • Responsible for attending and completing a report when an employee moves in or out of any staff occupied housing and assess if an employee is eligible to receive the damage deposit back upon departure
  • Responsible for working with the housekeeping team to schedule cleaning of both staff housing rooms and homes in the community, upon departure (this does not include billet homes)
  • Work and communicate with the accounting team on the collection and reimbursement of damage deposits, rent payments and any other financial requirements for housing
  • Ensure there is an updated excel spreadsheet when rooms are vacant/occupied with employee’s name, contact info, move in date, start date, and end date
  • Provide housing orientation to all tenants upon arrival including fire safety, rules and regulations, code of conduct, etc.
    • explain where the smoke alarms are located, how they work, and location of closest building exits
    • outline importance of rules regarding quiet hours and guests on property
    • detail all disciplinary action processes that may be taken if disregard is shown to the property, its owners, or its tenants
    • show all of the property’s amenities and services including laundry, house kitchens, washrooms, and showers
    • show all of the community’s amenities and services including mailing, laundry, eating, groceries, drinking, banking, motor vehicle servicing, and shopping
    • ensure the tenant has any numbers required in case of emergency (Housing Coordinator, Security, Police)
  • Respond to maintenance requests for repairs by tenants before requesting assistance of Maintenance team
  • Responsible for completing a One Month Check In with all tenants located in staff occupied housing
  • Handle all complaints with confidence and maturity, and report major complaints/issues to Human Resources in a timely and professional manner
  • Document all appropriate incidents and provide reports to Human Resources for Employee Files
  • Plan and execute activity nights such as BBQs, movies, games nights, and more, to engage staff and cultivate a team environment
  • Analyze morale at staff housing and coordinate with Human Resources to ensure it is maintained in a positive tone at all times
  • Inform Human Resources of occupancy rates and availabilities
  • Complete all other duties as assigned by management to create a safe and secure space for employees to live and grow at Cabot
  • Notify Security of any emergency situations
