Executive Administrative Assistant, Band Office

General Description:
Under the direction and supervision of the Directors of Administration and Director of Operations this position provides general administrative support in a highly confidential environment.
Responsibilities:
- Reviews and prioritizes incoming emails and responds to general enquiries.
- Manages appointment calendars.
- Maintains digital and paper filing systems.
- Coordinate meetings (e.g. catering, room bookings, agendas, meeting packages, etc.) and take minutes when required.
- Researches and creates presentations
- Contributes to the overall success of the team
- Provides input and participates in team meetings and decisions
- General office duties such as photocopying, faxing and typing a variety of documents.
- Other related duties such as processing invoices, maintaining tracking systems and preparing various documents.
- Provide back-up support for front reception.
Qualifications and Education:
- Grade 12 plus one year of related experience.
- Administrative training from a recognized educational institution is considered an asset.
- An equivalent combination of education and experience will be considered.
- Proficient use in MS Word, Excel and Outlook with ability to learn new software.
- Positive team player with excellent verbal and written communication skills.
- A high degree of initiative and attention to detail.
- Strong organizational skills with interest in learning for career growth.
- Knowledge of Indigenous and/or Mi’kmaw communities/organizations.
- A criminal records check is required. Having a criminal record is not a determining factor.
