Administrative Assistant, Housing

General Description:
Under the direction of the Housing Manager, this position provides day-to-day administrative and financial
support to the Housing Department including back-up reception support.

Responsibilities:
• Prepare and enter purchase orders, standing offers for bulk orders, and Purchase Journals in automated
accounting system (Xyntax).
• Preparing written work orders (e.g., janitorial services, electrical, appliance repair, plumbing, etc.).
• Coordinate meetings and training events as requested
• Conduct research projects such as finding revenue sources for housing projects
• Network with Nova Scotia power regarding the set up of new accounts and address changes
• Prepare electronic requisitions for goods/services over $5000 requiring EFO approval
• Prepare paper purchase orders for goods/services under $5000 requiring Housing Manager signature.
• Prepare documentation for hourly employees and contractors (e.g., timesheets and invoices)
• Coordinate training events and Housing meetings (lunch & learns, OH&S, etc.)
• General administrative duties to ensure the efficient daily operations of the Housing Dept, such as filing,
typing, copying, generating reports, cleaning, and computer file management.
• Other related duties as determined by the Housing Manager including acting on behalf of Housing
Manager in his/her absence.

Qualifications and Education:
• Grade 12 education with formal training considered an asset
• An equivalent combination of education and experience will be considered.
• Ability to use MS Office Suite and learn database programs.
• Good communication and organizational skills
• Knowledge of Indigenous and/or Mi’kmaq communities/organizations.
• A valid driver’s license & reliable vehicle with automobile insurance is considered an asset.
• A criminal records check is required. Having a criminal record is not a determinate factor.

Working Conditions:
• Normal work week is 35 hours/week, 7 hours/date.
• Work is completed in a comfortable office environment with an extensive amount of time sitting and
computer use.
• Managing multiple requests at one time (multi-tasking and time management).
• May be required to run errands within and/or outside the community.
Benefits

Current salary range: $36,395 to $47,475. This position comes with a variety of benefits including health, dental,
disability and life insurances, employee & family assistance program and employer pension plan.
