Title: Logistics Coordinator

Job Type: Permanent Full-time

Position Overview:
As the Logistics Coordinator at Cabot Links, you will establish the foundation for procurement and logistics needs at Cabot by ensuring that the items required to build, furnish and maintain our property are purchased from specified suppliers and are delivered according to agreed terms and conditions.

Essential Responsibilities & Duties:

Procurement & Inventory Control

  • Collect and interpret pricing quotes from various sources and suppliers
  • Monitor the quality, lead time and level of customer service provided by each supplier
  • Place and monitor purchase orders in order to meet required inventory, delivery deadlines, and budgetary confinement
  • Work closely with project managers updating team with order request and tracking information
  • Maintain and file supporting documentation for purchase orders in a clear and concise fashion
  • Resolve routine delivery, quality or other related problems with purchases and invoices
  • Assist in the preparation of requests for quotes and assist in the development of new supply sources
  • Present technical information in a clear and concise manner, both verbally and in writing, to technical and non-technical audiences
  • Arrange necessary project resources to ensure timely project completion
  • Create and monitoring procurement timelines
  • Create, plan and lead the procurement process for multi-disciplinary procurement projects
  • Help to determine and document desired inventory levels
  • Use inventory control system to manage and track supplies and par levels
  • Assist with leading the shipping and receiving operation
  • Interacts with guests when required & any related operational team members

Administration

  • Utilize Asana to track, update, and monitor hotel maintenance issues including glitches
  • Assist with the shipping and tracking of any hotel guest lost & found items in coordination with the Housekeeping department
  • Records and document follow up information from maintenance team members and ensures system updates.
  • Fields incoming calls / emails from guests, team members & affiliated vendors
  • Dispatch calls to maintenance team member based upon priority level in the operation

  • Participation in the monthly JOHSC meetings

  • Other duties as assigned by management

Qualifications:

  • High school diploma
  • Excellent understanding of efficient materials flow and best practice
  • High level of computer literacy, to include MS Office (Word and Excel), Outlook, and Yellow Dog Inventory
  • Ability to work under pressure and to tight schedules
  • Positive attitude and excellent organizational, communication, and interpersonal skills
  • Establish and maintain credible and cooperative working relationships with vendors and peers
  • Ability to work independently or as a team
  • Financially sound background
  • Ability to manage several projects at once
  • Ability to lead a team as well as complete the task
  • Must be able to communicate effectively and professionally via email, telephone and two-way devices

Physical Demands:

  • Ability to spend long hours moving around, walking, sitting, standing
  • Occasional lifting and carrying up to 40+ lbs
  • Occasional kneeling, pushing, pulling, lifting
  • Occasional ascending or descending ladders, stairs and ramps
