Position: PROGRAM AND ADMINISTRATIVE ASSISTANT

Job description:

The Programs and Administrative Assistant will be responsible for contributing to the support and planning of operations at the Branch office.

Duties and responsibilities will include:

– Provide program support for to staff and summer camp activities
– Update present databases maintained by Canadian Parents for French
– Participate in community events which promote Canadian Parents for French’s summer camp -programs and our mandate to the public
-Liaison with Francophone partners and other groups involved with the programs
-Implement registration for programs and events, such as summer camps, AGM and Conference, etc…

Supervision and Mentoring:

There are two full-time staff people at the Branch office as well as one contract employee to provide guidance and access to information as a starting point for the student. The Executive Director and Office/Camp Coordinator will help to support the Programs and Administrative Assistant as his/her skills grow through this experience. By coordinating the summer programs with other staff members, the Programs and Administrative Assistant will have access to professional experience provided. By contacting and working with partners, the media, possible sponsors and Canadian Parents for French members, the Programs and Administrative Assistant will develop a network of contact people who may be helpful in future job searches or event planning.

Employability skills:
The Programs and Administrative Assistant will learn valuable communication skills by meeting with parents, partners, participants and sponsors to promote and discuss summer activities. This will include processing registrations, creating press releases, updating camp information and speaking with the public about our programs. Administration skills will include planning the scope and format of events, establishing and monitoring budgets, reviewing administrative procedures and progress. Organizational skills will be needed to register participants and provide clear records of communications. The Programs and Administrative Assistant will need to work front-

line with registrations, liaise with the camp staff and provide up to date communications with public during the summer activities. The Programs and Administrative Assistant will have to prepare progress and final reports for each activity.

– Provide the Programs and Administrative Assistant with the necessary supervision, learning and work experience
– Ensure that any work will be carried out in a safe environment
– Provide the Programs and Administrative Assistant with all the information concerning health and safety standards and regulations regarding their work environment
– Location of employment is to be the CPF Nova Scotia Branch office in Halifax, NS
– Possibility of limited travel
– Field of studies and Relation:

The applicant for Programs and Administrative Assistant should be studying for a Bachelor of Education, Bachelor of Business Administration, Bachelor of Public Relations or Bachelor of Tourism and Hospitality. Fields that are applicable to this position are Marketing, Education, Business Administration, Communications, Management, Public Relations, Hospitality Management and Special Events.

SALARY
$16 per hour

SCHEDULE
Monday – Friday, 9 am – 4:00 pm, 30 hours per week

LOCATION
8 Flamingo Drive, Halifax NS

DUTIES
The Programs and Administrative Assistant will contribute to the planning and operations of the summer projects program of Canadian Parents for French, Nova Scotia (CPF Nova Scotia). The position requires working as administrative and program support for the summer projects of the organization. It will include assisting in the coordination, registration, promotion and participation of summer camp, AGM and Annual conference, community and special events to promote CPF Nova Scotia to the general public. This would also include the updating of information and databases to enhance the operations of CPF Nova Scotia.

The outcomes of this position’s duties are to increase the ability of CPF Nova Scotia to carry out the organization’s activities and to implement the mandate of the organization. The aim is also to increase awareness of the benefits of learning French and the importance of French language and culture in Canada.
The position is funded by the Federal government. It is open to a college or university student who is returning to school in the fall. French would be an asset for this position.
