About Our Opportunity

Under minimal direction of the Director, you will provide comprehensive, high-level secretarial, administrative and clerical services and support to the Marine and Coastal Services Division in order to facilitate the effective and efficient functioning of the Division’s operations.

Primary Accountabilities

As Secretary 2, you will increase office efficiency by:

  • Providing general office administrative, inventory control, and facilities management support functions for the division’s various offices and act as the Division’s OHS lead.
  • Being the first point of contact for the Division, you’ll act as an information resource for general inquiries for internal and external clients as well as act as the Department’s receptionist for the Halifax office.
  • Preparing and organizing all financial transactions
  • Handling the Division’s records management
  • The formatting and coordination of the Division’s Ministerial correspondence

Qualifications and Experience

This role requires the successful completion of a one (1) year secretarial/business administration diploma course from a recognized program plus three (3) years’ experience.  An equivalent combination of training and experience may be acceptable.
As the successful candidate, you will also demonstrate:

  • Excellent communication skills, both verbal and written, with the ability to communicate effectively with all levels of government officials and the public.
  • Proficiency with computerized Microsoft Office’s suite of programs (Outlook, Word, PowerPoint and Excel), records management and database management.
  • Excellent attention to detail to ensure accuracy and high-quality work and the incumbent must have the ability to determine the priority of various tasks under limited supervision.
  • Superior organizational skills, interpersonal skills, and a high degree of judgement and initiative in responding to matters as they arise.

We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Pay Grade:  CL 18  

Salary Range:  $1,579.09 – $1,766.79 Bi-Weekly
