Marine Atlantic is currently looking for a Confidential Administrative Assistant  to work with our Human Resources (Occupational Health) department located in North Sydney, NS. This is a term position with an end date of 31 May 2022.

Reporting to the Occupational Health Manager, the Confidential Administrative Assistant is responsible for supporting the day-to-day business activities of the Occupational Health department. Critical attributes of this position include: a positive, proactive “can do” attitude and excellent customer service, interpersonal and communication skills.

Additional Key Areas of Responsibility

  • Greet clients and callers, screen visitors to determine the nature of their business, answer inquiries, provides information and takes messages, and direct them to the appropriate person(s) or place(s).
  • Administer and process confidential employee, planning and financial information
  • Manage Occupational Health Nurses travel, correspondence and schedules
  • Completes filing and coordination of confidential information, including WCB NS and Workplace NL, and disability case management documentation.
  • Provides confidential administrative support to Disability Management Process, including requesting and receiving medical documentation from external health care providers.
  • Prepares monthly statistics relating to Wellness and Disability Management
  • Collects and analyzes data relating to employee health services utilization (STD provider, EFAP, Blue Cross) to provide guidance to wellness activities
  • Processes and ensures accuracy of monthly Workers Compensation billings.
  • Facilitates heath surveillance programs such as hearing conservation
  • Coordination of drug & alcohol testing program
  • Coordinates scheduling and completion of pre-employment medical screening with Occupational Health Nurse or through external provider
  • Maintains inventory of office and medical supplies, order supplies as required and arrange for servicing of office equipment
  • Composes minutes of meetings (as required) and distribute in a timely fashion.
  • Prepare Work Orders and Material Requisitions/Purchase Requisitions.
  • Work diligently, to promote a physically and psychologically safe working environment, that is diverse, accessible, inclusive and equitable.
  • Assist in the accomplishment of company objectives by performing other related duties as required.

What qualifications do I need to be considered for this opportunity?

Education and Experience

  • Office Administration or Secretarial Degree/Diploma
  • At least 3 years’ experience in an Administrative Assistant role
  • Medical administrative experience

OR

  • A combination of equivalent education, training, and work experience in a relevant position

Additional Qualifications

  • Superior organizational skills and time management skills with a demonstrated ability to organize, prioritize, and multi-task.
  • Strong attention to detail
  • Superior communication skills, both written and verbal
  • Proven success leading multiple projects at one time
  • Strong typing and keyboarding skills
  • Proficient use of Microsoft Office (Excel, Word, Power Point, Outlook)

Asset Qualifications

  • Certified Drug & Alcohol Technician Training
  • Worker’s Compensation claim management experience including injury reporting, claim review, and completion of occupational disease claims
  • Experience completing audiometric and spirometry testing
  • Education, training, or experience in the Human Resources or Health Safety & Environment field.
  • Knowledge of Human Resources roles and responsibilities and Human Rights Law

Please note: Candidates must successfully pass a typing test (requirements of 50 wpm), keyboarding testing and Microsoft Office testing.
