COMMUNICATIONS & MEMBERSHIP ADMINISTRATOR
United DFC is seeking a well-rounded individual to join our team as our Communications and
Membership Administrator. This is a full time, year round position.
This opportunity is ideal for a self-motivated, organized individual who is comfortable working
with the public in a fast paced office environment. We are seeking an individual who is focused on
customer service and interested in positively impacting the people and culture at United DFC.

JOB DESCRIPTION
This position will report to the Executive Director and work closely with the Director of Soccer
and other staff level Managers. The goal of this position is to support United DFC’s membership and
external stakeholders including members and their families, sponsors, and the soccer community at
large. This position will also be responsible for communications outside of the teams/programs
including social media, office reception, other forms of communication and administrative tasks
relative to running the United DFC. This position will serve as (or oversee) the primary point of
contact for members and their families.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Communication
Responsible for all aspects around club wide / external communications including:
● Develop, manage, report on and evaluate a comprehensive communications strategy for all
aspects of club communication. This would include social media, club emails to members, Need to
Know, website organization and press releases. Serve as a key member of the Communications
Committee.
● Maintain a comprehensive and up to date website that is useful to members and follows best
practices.
● Other duties as assigned.
Registration & Marketing
Responsible for all outward facing aspects of registration and is responsible for marketing the
club with the intent to grow membership in all strategic areas as directed by the ED, Board and/or
DoS including:.
● Develop, manage, report on and evaluate a comprehensive marketing strategy to increase
membership.
● Support other staff and key volunteers to market programs and positive aspects of the club.
● Manage volunteers who are completing tasks to support registration/ recruitment.
● Responsible for Recruitment tasks under the UDFC RACI chart
● Participate in developing and implementing the “United DFC Experience” for members.
● Other duties as assigned.
Member and Public Engagement
Responsible for office reception providing a welcoming and friendly environment for members and the
public. This position will provide timely responses to questions and inquiries including:
● Reply to emails as deemed appropriate within one business day
● Reply to phone calls as deemed appropriate within one business day.
● Reply to social media inquiries within one business day
● Train volunteers/ grant staff to fill the reception role when required.
● Other duties as assigned
● Develop, manage, report on and evaluate a strategy around the Halifax Wanderers season tickets
and additional benefits with the goal of maximizing the benefits with minimal losses.
● Report to the ED on the status of ticket sales, events, etc.
United DFC Store
This position is responsible for all aspects of the UDFC store. This includes but is not limited to
the following:
● Develop, manage, report on and evaluate a comprehensive marketing and branding strategy as it
relates to the United DFC store and brand including inventory, tracking, store sales, ordering,
sales and clothing design. * Note all new items or changes to existing items must be approved by ED
to ensure branding integrity.
● Develop, manage, report on and evaluate a comprehensive Jersey for Life strategy including
tracking, distribution, organization, storage and future purchases.
● Other duties as assigned.
Office Management
Responsible for coordinating all aspects of office cleanliness and function ensuring the office is
clean and tidy at all times and supplies are ordered so staff is able to work in an efficient way.
Tasks include but are not limited to the following:
● Create a task schedule for clearing duties
● Ensure tasks are completed and everyone does their share
● Ensure the office is a clean, welcoming place- both inside and outside.
● Maintain inventory of office supplies/ equipment
● Responsible for Communication and Membership Administrator tasks under the UDFC RACI chart
● Other duties as assigned.
Summer Staff and Volunteers Support
After a summer staff/ volunteer is onboarded, they may be specifically assigned to the
Communications & Membership Administrator. When this happens, the Program Support Administrator is
responsible for:
● Participate as directed by ED in the hiring/ interview process
● Schedule/ assign Program grant staff/volunteer as directed
● Evaluate Program grant staff/ volunteer as directed
● Ensure paperwork is collected from Program summer staff/volunteers.
● Other duties as assigned
Finance & Bookkeeping
This position is responsible for managing the daily sales reconciliation for the point of sale
system including petty cash and preparing deposits as required.
General
● Contribute as directed to maintain a tidy work environment and shared space.
● There is an expectation that this position will be required to work some evenings and weekends
and be on call outside United DFC office hours if necessary
● Work well with other staff and key volunteers to complete tasks as assigned
● Delegate where appropriate to appropriate staff/ volunteers
